Manage Devices

Use the Devices section to add, rename, and deactivate physical or virtual equipment associated with an organization location. Devices appear as assignable resources in appointment types.

Open Administration and go to Devices

From the Organizations list, open the context menu for the target organization and select Administration. Inside Administration, select the Devices tab or section.

The Devices page lists all devices currently associated with the organization. Each device row shows:

  • Device name

  • Room manufacturer (when available)

  • Registered on โ€” the date the device was first recorded

  • Model โ€” the model number, when available

  • A status badge: active or deactivated

Add a new device

Click the Add button. A slide-over panel appears on the right with the title Device.

Complete the following fields:

Field

Required

Description

Name

Yes

A user-friendly name for the device. If left blank, the form shows Name is required and will not submit.

Manufacturer

No

The name of the device manufacturer.

Type

No

The device type, selected from a predefined list. Start typing to search available types.

Click Save to create the device. A green notification appears: Device added successfully!

Edit an existing device

On the device row, open the row menu and select Edit. The same slide-over panel appears pre-populated with the device's current values.

Update any fields and click Save. A green notification appears: Device updated successfully!

Deactivate a device

On the device row, open the row menu and select Deactivate. A confirmation prompt appears:

Are you sure you want to deactivate this device? This action cannot be undone.

Click Deactivate to confirm. The device's status changes to deactivated and a green notification appears: Device deactivated successfully!

Click Cancel to return to the list without making any changes.

Note: Deactivation cannot be reversed from this interface. If a device was deactivated in error, contact your system administrator.

Result: Added devices appear in the Devices list and become available for assignment in Appointment Types. Deactivated devices are removed from the active list and cannot be assigned to new appointments.

Best practices

  • Add devices before configuring appointment types. Device options in the Appointment Types form only appear when the organization has at least one device configured.

  • Use the Type field to categorize devices. Selecting a device type helps practitioners identify the correct equipment when scheduling.

  • Deactivation cannot be reversed from the UI. Contact your system administrator if a device needs to be restored after being deactivated in error.
