Managing Patient Appointments

Keeping patient appointments up to date is essential for a smooth workflow, improving care coordination, and ensuring patients receive timely care. The Appointments section in the patient chart allows you to view, create, edit, and cancel appointments.

How to Access and Use the Appointments Section

1. Navigating to the Appointments Tab

Step 1: Open the patientโ€™s profile.
Step 2: In the right-side navigation panel, select the Appointments tab (calendar icon).


2. Viewing Appointments

The Appointments section displays a chronological list of all upcoming, booked, and canceled appointments for the selected patient.

Each appointment shows:

  • Date and Time

  • Status (Booked, Cancelled)

  • Type of Appointment (e.g., Initial Consult, Follow Up)

  • Practitioner

  • Appointment notes (if added)

Click on the three-dot (โ‹ฎ) menu next to an appointment for additional actions (e.g., view, unbook).


3. Creating a New Appointment

Step 1: Click Create new appointment (bottom right).
Step 2: Fill in the appointment details in the side panel.

Fields to Complete:

  • Appointment Type โ€“ Dropdown/autocomplete (e.g., Initial Consult, Follow Up, PMI Program, etc.)

  • Practitioner โ€“ Select from available practitioners.

  • Pick Time โ€“ Choose from available slots.

  • Date โ€“ Select with the calendar picker.

  • Room โ€“ (Optional) Assign a location.

  • Devices โ€“ (Optional) Assign a device.

  • Notes โ€“ Add custom notes or snippets.

  • Required Questionnaires โ€“ Toggle on/off pre-visit questionnaires for the patient.

Step 3: Click Save to book the appointment. A success confirmation will appear.


4. Editing or Canceling (Unbooking) an Appointment

  • To cancel (unbook) an appointment, click the three-dot (โ‹ฎ) menu next to it.

  • Select Unbook, then confirm the action.

  • The status updates to Cancelled, but the appointment remains in the history timeline for record-keeping.


5. Additional Actions

The three-dot menu also allows you to:

  • View Patient โ€“ Navigate quickly back to the patientโ€™s summary.

  • Unbook Appointment โ€“ Cancel the scheduled session.

Best Practices & Tips

  • Always confirm availability before booking to avoid scheduling conflicts.

  • Use Notes and Snippets to document appointment purposes for better continuity of care.

  • Enable Required Questionnaires early so patients can complete them ahead of time, reducing delays during visits.

  • Keep canceled appointments visible (rather than deleting) for compliance and historical record.

  • Encourage patients to confirm appointments through reminders, ensuring reduced no-show rates.
